Balboa Park Terrace HOA — Messaging Privacy Policy

About this policy
Balboa Park Terrace Owners Association, using the public name Balboa Park Terrace HOA, uses email and text messages to communicate about HOA business. This policy describes information used for that messaging program. It does not replace any separate policy governing other HOA records or services.
Information we use
We use contact information such as your name, email address, and telephone number, together with your HOA role, unit association, and communication preferences. We also maintain messages, delivery information, and records of communication-preference changes. If you email the board, the information you include may be available to authorized board members and administrators.
How we use information
We use this information to send HOA newsletters, meeting reminders, maintenance notices, and other operational communications; provide separately enabled board alerts; respond to questions; honor communication choices; and maintain and troubleshoot the messaging service. SMS participation is voluntary and requires consent for the telephone number receiving messages.
Access and service providers
Authorized HOA personnel can access information needed for their duties. Service providers that operate the program process the information needed to provide their services. These include Google Workspace for email and Telnyx and mobile carriers for text messaging, and may include website hosting and network service providers. For example, delivering a text requires processing its destination number and message content.
No mobile information will be sold or shared with third parties for promotional or marketing purposes. SMS opt-in data and consent records will not be shared with third parties for their own marketing or promotional purposes. Service providers may process this information to operate the HOA's messaging program.
We may disclose information when required by law or when reasonably necessary to protect the service or address misuse.
Your communication choices
- Text messages: Reply STOP to stop HOA text messages. Reply HELP for support, or email board@balboaparkterrace.com. Message frequency varies, and message and data rates may apply. To resume after opting out, follow the portal's consent process; a START or UNSTOP reply alone does not restore portal consent.
- Email newsletters: Use the unsubscribe link in a newsletter or contact the board. Newsletter unsubscribe does not automatically stop separate account or operational emails.
- Contact details: Contact the board to request correction of your contact information or assistance with your preferences. Email and SMS preferences are separate.
Records and security
The HOA uses access controls and other safeguards for its messaging systems. Information may remain in delivery records, correspondence, audit records, provider systems, and backups after an opt-out. Opting out stops the relevant messages; it is not an automatic deletion request. Contact the board about records or deletion requests. Requests will be considered together with the HOA's operational and recordkeeping obligations.
